Terms of Service

DocTrack AI is software for appointment booking and patient communication: an AI receptionist on WhatsApp, a booking page and chat, voice booking, reminders, a waitlist and a dashboard for the Clinic's staff. Features depend on the Clinic's plan.

• The Clinic gives correct details about itself and its doctors, and keeps them up to date.
• The Clinic is responsible for its staff logins and for keeping passwords secret.
• New Clinics are reviewed before they go live, and we may refuse or suspend an account that breaks these terms.

When a Clinic connects a WhatsApp number to DocTrack AI, the Clinic:

• confirms it is entitled to use that number for its business;
• follows the WhatsApp Business Policy and WhatsApp Business Terms;
• messages only patients who contacted the Clinic or agreed to receive its messages, and stops when a patient asks;
• uses approved message templates where WhatsApp requires them (for example, messages sent more than 24 hours after the patient's last message);
• pays Meta's WhatsApp charges where they apply.

We may pause a WhatsApp connection that is used for spam or breaks these policies.

The AI receptionist handles appointments and general clinic information. It does not diagnose, prescribe or give medical advice, and it is not an emergency service. The Clinic remains responsible for the medical care it provides and for checking appointments made through the service.

• No spam, unsolicited marketing, or messages to people who have not agreed to them.
• No unlawful, misleading or harmful content, and no use that breaks the law or the rights of others.
• No attempt to access another Clinic's data, to break the security of the service, or to overload it.

The Clinic owns its patients' data. We process it to provide the service as described in our Privacy Policy. The Clinic is responsible for having a lawful basis to collect its patients' data and for informing its patients. Data deletion is described on the Data Deletion page.

Plans and prices are shown on our website. A free trial may be offered; after it, the Clinic chooses a paid plan to keep using the service. Fees already paid are not refunded for a partly used period unless required by law.

We work to keep the service available and correct, but it is provided "as is". Messages can be delayed or fail because of WhatsApp, the internet or other services outside our control.

To the extent the law allows, we are not liable for indirect or consequential losses, and our total liability is limited to the fees the Clinic paid us in the three months before the claim.

The Clinic can stop using the service at any time. We may suspend or close an account that breaks these terms or does not pay. After an account is closed its data is deleted as described in the Privacy Policy.

These terms are governed by the laws of Pakistan.
